Alfred University's Chosen Name Process

Alfred University strives to create a welcoming, inclusive, and supportive community for all. We believe that everyone deserves to be respected, valued, and celebrated members of our community, regardless of gender, race, ethnicity, sexual identity or expression or background. We also believe that empowering students to use their chosen name contributes to respecting students as we promote safe and non-discriminatory experience at Alfred University. Reasons for first name changes may include being transgender or gender non-conforming identities, international students, or other students who wish to adopt an English language name.

Please note: this process is limited to only first names.

Where Chosen Name Will Not Apply

  • Some campus records may not reflect a chosen name, such as financial aid, payroll, federal or medical documentation.
  • Transcripts would not reflect a chosen name, unless a legal name has been official changed.
  • Diplomas can have a variation of legal name; so chosen name could be allowed. (Please note: that depending on places of employment, especially overseas, the diploma will have to match legal name).

How do I request that Alfred University use my chosen name?

What about my ID card?

New students can request that their first ID card display their chosen name. The chosen name will appear on the front of the ID card, while the official/legal name of record will appear on the back. The chosen name and official/legal name are listed on the ID card to maintain the validity of the ID card for state and federal identification purposes. Returning students request a new ID by contacting Dining Services Office on the first floor of Powell (a replacement ID will cost $15).

How often can I change my chosen name?

Your chosen name can be changed no more than once an academic year and twice during your tenure at Alfred University.

Who has access to view my legal/official name? Why?

University administrators, Public Safety, Wellness Center staff, and your supervisor (if you are employed on campus) will have access to your chosen name and legal/official name. These offices or University administrators may see your official/legal name to process medical, legal, or process financial or payroll matters.

Restrictions to chosen name requests:

A chosen name cannot be used for the purpose of misrepresentation, avoiding legal obligations, or in a manner that violates University policies or federal, state, or local laws. Alfred University reserves the right to deny the request to use a chosen name that is deemed inappropriate or contains symbols.
