Leave Balances are located at the bottom of your Pay-Stub or Direct Deposit

Below is where to find out how to calculate an employee's Leave Balance.

If you are an hourly employee who submits a timesheet every pay-period

Balances for Support Staff are displayed in hours available; to calculate the number of days, divide total by the number of hours in your normal work day (7 vs. 8 hr. day). The example above is for a support staff clerical employee who has one Floating Holiday, no Merit Days, ½ Personal Day and 5½ Vacation Days. Leave balances are calculated for the same time period that the payroll check covers; which is always on a two week lag. In the example above, the payroll check date is May 24th which covers the pay-period April 28th – May 11th. All time taken and accrued through May 11th are included in these balances to show you what is available.

If you are an exempt employee who submits a leave report every month

Balances for Exempt Staff are displayed in days available. The example above is an administrator with one Floating Holiday, ½ Personal Day and 17½ Vacation Days. Totals shown include the accruals for the same time period that the payroll check covers. However, LEAVE REPORTS run outside of the payroll process, so leave time taken only posts to your balances when your supervisor approves your LEAVE REPORT. So if you have unapproved LEAVE REPORTS with time taken on them, the balances shown will not be accurate because they have not been updated with any time taken in the unapproved months. You will need to take into consideration any days used during those months when determining your leave balance availability.

If you are a temporary exempt employee who submits a leave report every month

Balances for Temporary Exempt Staff are displayed in days available. The example above shows a Temporary Exempt Staff Employee with 7 Days plus a partial day. (Since LEAVE REPORTS are used, the same rules noted above apply)

Notes to Remember

Policy at Alfred University is that vacation time can only be taken in full or half day increments. Personal/Floating Holiday/Sick Time can all be taken in 1 hour increments.

Please review your balances for accuracy and report any discrepancies to Human Resources.
